Core Wellness Collective CIC (trading as Core Wellness) is committed to the safe and secure handling of your personal data and protecting your privacy. This privacy policy outlines how we collect, use, and safeguard the personal information you provide to us, including information collected through third-party services such as Yuup, Bookwhen, Stripe and Google Forms. For perinatal classes, this also includes information you provide about your child.

 Core Wellness Collective CIC is the data controller responsible for your personal data.

1. INFORMATION WE COLLECT

We will collect, store and use the personal data that you provide to effectively manage our exercise classes and ensure that as a participant you are kept informed and safe.  We will also use personal data to protect children who may attend our perinatal classes alongside their parent. 

In addition to information collected directly through our website, in-person interactions, and emails, we collect personal information via third-party services such as Yuup, Bookwhen, Stripe and Google Forms.

The type of data we collect may include:

• Name
• Demographics (such as age)
• Contacts details (including email address and phone number)
• Emergency contact details (including name and phone number)
• Health information (such as fitness levels and medical conditions)
• Children's name,  age  and any allergies or medical conditions relevant to their attendance.
• Billing and payment information (handled securely by Yuup for bookings made prior to 05/02/25 and Stripe for bookings made from 05/02/25 onward.)
• Any other information you voluntarily provide to enable a safe exercise environment for you (and your child, where relevant).

We may use your personal information for the following purposes:

• To process class bookings, refunds and confirm payments.
• To contact you with class updates, communicate about your bookings, and share information on class-related opportunities.
• To keep Core Wellness Collective CIC informed about any health or other needs we should consider while delivering your classes.
• To ensure the safety and well-being of all participants, including children attending with their parents. 
• To use emergency contact details in case of a medical emergency.
• To tailor activities to your needs using 'specialist category’ information (e.g. data relating to disabilities and health).
• To comply with legal and regulatory requirements.

We process your personal data under the following lawful bases: consent, performance of a contract, and legal obligations. 

2. USE OF THIRD-PARTY SERVICES

a) Yuup

• Bookings made prior to 05/02/25 will have been processed through Yuup, which facilitated the booking and payment process for our classes. 
• Information collected via Yuup is processed according to Yuup’s privacy policy, terms of service and terms and conditions. 
• We recommend reviewing Yuup’s privacy policy to understand how they handle your personal information.

 b) BookWhen

• From 05/02/25 onward, we will transition to using BookWhen for new class bookings. BookWhen facilitates the booking and payment process, including payments securely processed via Stripe. 
• Information collected via BookWhen is processed according to BookWhen’s privacy policy and terms of service. 
• We recommend reviewing BookWhen’s privacy policy to understand how they handle your personal information. 

c) Google Forms

• Google Forms securely collects and stores personal information.
• Information you provide via Google Forms is transferred to our internal systems for processing and management.
• Google Forms adheres to Google’s privacy and security standards, and the data is stored on Google’s secure servers.
• We recommend reviewing Google’s privacy policy to understand how they handle your personal information.

3. DATA SECURITY

Core Wellness Collective CIC is committed to protecting the security of your personal information, including information collected via Yuup, BookWhen, Stripe and Google Forms. We take reasonable precautions to safeguard it against loss, theft, unauthorised access, disclosure, alteration, and destruction.

4. DATA RETENTION

Unless you provide separate written consent,  Core Wellness Collective CIC will cease to contact you six months after you stop attending our classes. At this point, we will also delete/destroy all personal data not linked to financial records. Personal data linked to financial records will be stored for six years to comply with HM Revenue and Customs regulations, which require trading entities to keep records for this period.  

5. DATA SHARING

Core Wellness Collective CIC will not share your personal data or that of your children unless legally obliged to do so. All data you provide to us is stored on a password protected device and/or locked away. The only exception is when paper copies of your personal data may be carried to classes that you attend, to ensure health needs and emergency contact details are readily available if required.  

6. YOUR RIGHTS

You may request details of personal data held about you or your child and withdraw your consent at any time. 7. GDPR COMPLIANCE

Core Wellness Collective CIC ensures compliance with the General Data Protection Regulation (GDPR) by: 

• Processing personal data based on your consent, the performance of our services, or legal obligations.
• Respecting your rights to access, rectify, erase, restrict, and object to data processing.
• Notifying relevant authorities and affected individuals promptly in the event of a data breach.
• Collecting only necessary data and keeping it accurate and up-to-date.
• Retaining data only as long as necessary or legally required.
• Implementing measures to protect data from unauthorised access, loss, or damage.

8. UPDATES TO THIS PRIVACY POLICY

We may update this privacy policy from time to time to reflect changes in our business practices or legal requirements. Any changes will be posted on this page, and we encourage you to review this periodically for updates.
